How to Design Repair Workflow Stages That Match Your Shop (Templates)

  • They're too vague for customers. “In Progress” could mean anything. So they call.
  • They miss key decision points. Most repairs have a moment where the customer needs to approve something.

Three principles for designing repair workflow stages

  1. Each stage should be clear to the customer. “QC Check” means nothing. “Final Testing” does.
  2. Each stage should trigger an action. The customer needs to do something or know something.
  3. Keep it under 7 stages. More than that and you'll forget to update them.

For phone repair shops:

  1. Received — Device checked in
  2. Diagnosing — Testing to confirm the issue
  3. Quote Sent — Customer needs to approve
  4. Repairing — Active repair in progress
  5. Testing — Post-repair quality check
  6. Ready for Pickup

For computer repair shops:

  1. Received — Device checked in with symptoms
  2. Diagnosing — Running diagnostics
  3. Quote Sent — Awaiting approval
  4. Parts Ordered — Waiting on components
  5. Repairing — Hardware or software work

  7. Ready for Pickup
