Customizing Your Workflow Stages
Set up the stages your jobs go through, from intake to completion.
What are stages?
Stages are the steps a job goes through in your business — from when a customer drops something off to when they pick it up. FixyFlow uses stages to:
- Show progress on the customer's tracking page
- Trigger SMS/email notifications when you advance a job
- Help you organize your work at a glance
Choosing a template
During onboarding, you can pick a template that matches your business type:
- Repair Shop — Received → Diagnosing → Waiting for Parts → In Progress → Ready for Pickup → Picked Up
- Mobile/On-Site — Booked → Confirmed → En Route → In Progress → Completed
- Project/Custom Work — Quoted → Approved → In Progress → Review → Completed
- Simple (Drop-off) — Received → In Progress → Ready → Picked Up
You can always customize these later.
Editing stages
Go to Settings → Workflow Stages. For each stage you can:
- Rename it — click the stage name to edit
- Reorder — use the up/down arrows
- Add a contextual message — this appears on the customer's tracking page when a job is at that stage (e.g., "We're sourcing the right parts for your repair")
- Delete it — only if no active jobs are at that stage
The final stage
The last stage in your list is automatically marked as the Final stage. When a job reaches this stage:
- No SMS is sent (only email notification)
- Confetti animation plays on the tracking page
- The customer is prompted to rate their experience
- High ratings get a Google Review prompt (if you've set your Google Review URL)
